Privacy Policy

01 Data we collect

• Account data: name, email, and authentication identifiers.
• Roster data: staff names, shifts, leave, events, and team structure.
• Usage data: app interactions, device type, and diagnostics.
• Cookie data: consent choice and anonymous site analytics identifiers.
• Billing data: managed by our payment provider — Apple (App Store In-App Purchase) on iOS, Google Play Billing on Android, or Stripe on the web/desktop, depending on where you subscribe. We do not receive or store full card details in any case; Apple/Google handle iOS and Android purchases entirely within their own platforms.

02 Google OAuth

When you sign in with Google, we receive your email address and basic profile information. This is used only to create and secure your account.

• Process billing and subscription status.

04 Why roster data is sensitive

Rosters can reveal working patterns, availability, absence, team structure, and internal responsibilities. We treat this as operational data that should be used only to provide the service, support the account, maintain reliability, and meet legal or security obligations. Public website pages do not display private roster data.

05 AI features (RC AI)

RC AI is an optional assistant in the app and website for work, sports, household, study, notebooks and Park navigation. With your permission, it sends relevant data to Anthropic on AWS Bedrock and, when needed and enabled, Groq, Cerebras or Cloudflare Workers AI to generate an answer or suggestion. RC selects the service automatically and stops once it receives a usable answer.

• Your message and a limited recent conversation, including any information you type.
• Relevant app roster context: people, shifts, leave, events, tasks, coverage and planning details, depending on the workspace.
• Relevant notebook content and screen context when using notebook or workspace assistance.
• Park chat uses a smaller roster directory: names, identifiers, types and edit permission flags. It does not automatically attach full schedules, inventory or notebooks.
• Other website chats use basic page and roster context. Signed-out chats do not attach an account roster.

A one-time RC AI privacy prompt names the services and explains the data before you allow online processing. An older permission for AWS alone does not authorize the additional services. Choosing Not now uses the built-in guide and, where already available, an on-device language model. It does not send your request to an external AI provider or automatically download a model. You can review this choice in Settings → RC AI → Review AI privacy in the app or the website chat's Privacy control. Turning off online assistance prevents external AI requests.

Each contacted provider handles the request under its service terms and privacy policy. These are described by AWS Bedrock, Groq, Cerebras and Cloudflare. Model output does not bypass the app's roster permissions or confirmation controls.

RC uses a female voice by default where available and remembers your voice and mute preferences. App speech may use Amazon Polly, which receives the text to be spoken, or your device's speech engine. Website speech uses the browser or device speech engine; whether that engine processes speech locally depends on your platform and installed voice. You can mute RC without disabling text answers.

RC utility tools calculate, convert units and handle common time-zone requests on your device. Your personal RC calendar, reminders, timers and to-dos are saved separately for each account on that device or browser; they do not connect to external calendars. Browser alerts require the page to remain open. Device notifications use your operating system's permissions and scheduling rules. Clearing site or app storage removes these plans.

When you request weather or currency information, our API looks up only the location or currency pair needed. Weather coordinates are rounded and sent through our server to MET Norway; city and postal data are adapted from GeoNames (CC BY 4.0). Exchange rates come from Frankfurter, with ExchangeRate-API as a fallback. These lookups do not send your roster, notebook or conversation to an AI provider.

06 Service providers

We use service providers for hosting, authentication, email delivery, billing, analytics, diagnostics, advertising, and support operations. These providers process data only where needed to deliver their part of the service. We do not sell personal data.

07 Cookies

We use essential cookies to keep the site functional, analytics cookies to understand how people use the public pages, and advertising cookies when ad delivery is enabled. You can accept or decline non-essential cookies via the banner shown on the site.

08 Advertising

The Roster Champion marketing website (rosterchampion.com) uses Google AdSense to display advertisements. Google AdSense uses cookies and device identifiers to serve ads based on your prior visits to this website and other websites on the internet. Google's use of advertising cookies enables it and its partners to serve ads based on your visit to our site and/or other sites on the internet. You may opt out of personalised advertising by visiting Google Ads Settings. Advertising is limited to eligible public content pages. We do not intentionally serve Google display ads on account sign-in callbacks, billing checkout/success/cancel pages, private roster workspaces, or the secure app shell. Google consent mode is set to deny ad storage, ad user data, ad personalisation, and analytics storage by default. If you accept non-essential cookies, the site updates that consent state and may show ad slots on eligible public content pages.

The Roster Champion mobile apps (iOS and Android) use Google AdMob to display ads to free-tier users. AdMob may use your device's advertising identifier to personalise ads. You can reset or opt out via your device privacy settings. Subscribing to any paid tier removes all in-app advertising.

Before showing any ad, the app asks Google's consent management platform whether your region requires explicit consent (this covers the EEA, UK, Switzerland, and some US states). Where it's required, you're shown a consent form before any ad request is made and can choose what to allow. On iOS, the app also asks for tracking permission (App Tracking Transparency) before requesting a personalised ad. You can review or change your ad-privacy choice at any time from Settings → Manage Ad Privacy Choices in the app, and revoke iOS tracking permission at any time in your device's Settings → Privacy & Security → Tracking.

09 Public content and private account areas

Public articles, Topics pages, product pages, and policy pages are designed to be readable without login. Private app screens, authentication callbacks, workspace pages, and checkout result pages are functional pages rather than public articles. We keep advertising away from those pages and mark thin utility screens so search engines do not treat them as editorial content.

10 Sharing

We do not sell personal data. We share data only with service providers required to run the app (e.g., hosting, billing, advertising, and — only when you use cloud RC AI features and have agreed to it — the AI providers described above).

11 Security

Data is encrypted in transit and at rest. Access is controlled with role-based permissions.

12 Retention

We retain data while your account is active and as needed to provide the service. You can request deletion at any time.

13 Your choices

• Access and update your profile information.
• Request account deletion from within the app, or see how to delete your account.
• Control sharing via access codes and permissions.
• Accept or decline non-essential cookies through the cookie banner.
• Contact us if you need help locating or correcting account data.
